DivEra Bots™ LLC — Policies for Parents & Guardians
Notice
This Refund & Cancellation Policy outlines how Desirree T. Potts, doing business as (d/b/a) DivEra Bots™ and DivEra Bots LLC (“Company,” “we,” “our,” or “us”) manages cancellations, rescheduling, and refunds for tutoring, enrichment, and elective services.
By enrolling a student or purchasing services, you acknowledge that you have read, understood, and agreed to the terms in this Policy.
Refund Policy
A. Scheduling, Cancellation, and Rescheduling
To maintain fairness and respect for educators’ time, the following rules apply:

If a session is canceled or rescheduled at least twenty-four (24) hours in advance, there is no penalty.

If a session is canceled more than three (3) hours prior to the scheduled start time, the family may reschedule the session by paying a thirty-dollar ($30) cancellation fee.

If a session is rescheduled more than three (3) hours prior to the scheduled start time, the family may reschedule the session for a fifteen-dollar ($15) rescheduling fee.

If a session is canceled less than three (3) hours before the scheduled start time, or if the Student does not attend (no-show), the full tuition for that session is forfeited and will not be refunded or rescheduled.

If an Educator cancels a session, it will be rescheduled at no cost to the family or credited back to the account.

Sessions canceled due to acts of nature or verified emergencies (including hurricanes, tropical storms, serious illness, or family emergencies) may be canceled without penalty.
B. Refunds and Prepaid Services

Tutoring sessions may be billed per session or as prepaid packages.
-
Enrichment and elective programs are prepaid in full and non-refundable once begun.
-
Refund requests for enrichment or elective programs must be made at least seven (7) business days prior to the first session.

Refunds are not available for partially completed packages or for digital content once accessed.
C. Payment Methods and Incidental Fees

Approved refunds are issued to the original payment method.
-
Families must maintain an active debit or credit card on file for incidental charges (e.g., rescheduling fees).
-
Scholarship programs typically do not cover incidental fees; these remain the family’s responsibility.
-
Families will receive at least two (2) business days’ notice before any incidental fee is processed.
D. Scholarship-Invoiced Services

Scholarship-funded sessions are confirmed only after verification and invoicing through the applicable state program (e.g., Florida FES-UA, EMA, Arizona ESA).

If a session is canceled or rescheduled at least twenty-four (24) hours in advance, there is no penalty, and the session may be rescheduled at no cost.

If canceled within 24 hours but more than three (3) hours before the start time, the session may be rescheduled within seven (7) calendar days based on availability.
-
If canceled less than three (3) hours before the start time or if the student does not attend (no-show), the session is voided, and funds for that session are refunded to the scholarship account per program rules.

After three (3) unexcused no-shows in a semester or funding cycle, the student may be suspended or removed from the program.
-
Families will receive a written warning after each unexcused no-show.

If an Educator cancels a session, it will be rescheduled at no cost to the family.

Scholarship payments are non-refundable once submitted or processed by the scholarship administrator.
-
Families are responsible for confirming eligibility and submission timelines with their scholarship provider before payment.
E. On-Demand Tutoring Bookings:

On-Demand Tutoring sessions are designed for last-minute academic or technology support and are available to self-pay clients only.
-
On-Demand sessions may be booked on Saturdays or Sundays only, with sessions held on Sundays between 3:00 PM and 9:00 PM (EST) in two-hour segments.

All On-Demand bookings are final and non-refundable once confirmed.

Rescheduling or cancellation requests cannot be accommodated due to limited weekend availability.

If an Educator must cancel, the session will be credited or rescheduled at no cost to the family.
-
This policy does not apply to scholarship-funded students, who remain under the Scholarship Attendance & Refund Policy.
F. Educator Standards and Parent Responsibilities

All Educators complete state and federal background checks and annual Florida DCF abuse-reporting training.
-
Parents/guardians must ensure students have a safe, quiet workspace, functioning technology, and appropriate supervision during sessions.
-
DivEra Bots™ is not responsible for home technology failures, network outages, or distractions occurring during sessions.
G. Emergencies and Exceptions

Refunds or credits may be granted at the Company’s discretion for verified emergencies, natural disasters, or documented medical events preventing attendance.
-
Approved exceptions will be reviewed on a case-by-case basis and communicated in writing.
H. Requests and Processing

To request a refund, please email refunds@diverabots.com with:

Student’s full name
-
Service type (tutoring, enrichment, or elective)
-
Session date and time
-
Reason for request
-
Approved refunds are typically processed within 7–10 business days of approval.
I. Governing Law and Jurisdiction
-
This Policy is governed by and interpreted according to the laws of the State of Florida.
-
Any disputes shall be resolved exclusively in the state or federal courts of Duval County, Florida.
J. Acknowledgment

By booking or enrolling in services through DivEra Bots™, you confirm that you have read, understood, and agreed to this Refund & Attendance Policy.
