DivEra Bots™ LLC — Policies for Parents & Guardians

1. Information We Collect

We collect personal and educational information solely to provide services.

Parent/Guardian Data: name, address, phone number, and email.
Student Data: name, grade, date of birth, pronoun or name preference, learning goals, and emergency contact information.

Optional information, shared voluntarily by the parent or guardian, may include report cards, IEPs, 504 plans, or other academic documents. These are stored securely for seven (7) years or as required by law.

2. Purpose of Data Use

Information is used only to:

Register and schedule services

Deliver instruction and track progress

Communicate with parents and guardians

Process payments or scholarship applications

We do not sell, lease, or trade personal information for any purpose.

3. Data Collection Tools and Vendors

We utilize secure business and education platforms, including:
Wix, JotForm, Google Workspace (Google Meet & Drive), PayPal, Stripe, Klarna, ClassWallet, and EMA.
Each third-party vendor maintains its own privacy policy. We select providers that demonstrate strong security and compliance standards.

4. Data Storage and Retention

All records are stored using encrypted systems accessible only to authorized staff.
Information is retained for seven (7) years or as required by law, then permanently deleted in a secure manner.

5. FERPA-Aligned Practices

Although DivEra Bots™ operates as a private education provider not formally governed by FERPA, we voluntarily adhere to FERPA principles and ethical best practices.
Parents and guardians may request access to, correction of, or deletion of student records, subject to legal retention requirements.

6. Child Protection and Educator Standards

All educators complete state and federal fingerprint background checks every three years.

All educators complete annual Florida DCF abuse-reporting training.

The Owner and lead educators complete a five-hour Trauma-Informed Care Course (TICC).

All educators are mandated reporters under Florida law.

7. Data Sharing and Legal Compliance

We may disclose limited data:

When required by law or court order

To authorized agencies for scholarship payment processing

To comply with safety, audit, or regulatory requirements

We do not share personal data for marketing or advertising purposes.

8. Security Measures

We implement SSL encryption, password protection, multi-layer authentication, and restricted access controls to protect information.
All employees and contractors are bound by confidentiality agreements and ethical data-handling requirements.

9. Cookies and Analytics

Our website uses cookies to enhance user experience, analyze traffic, and personalize content.
